Preparing for your Corporate Move

office moves meeting

As the business grows, there may become a time when you will need a bigger office or location for your business operations. Whether you're getting an additional office or workspace for the new staff or you're moving everyone to a bigger office, you may need to move some tools and equipment that your staff may need to complete their tasks. No matter how big or small the move, there is paperwork that you need to accomplish and other things you/your staff will need to prepare and pack for the move.

1. Plan ahead

Just like when you're moving to a new home, relocating your business takes a lot of energy, time, and resources. There's more paperwork to accomplish and more tasks to do before, during, and after the move. Hence, you need to plan everything ahead of time to avoid missing any important details. When possible, communicate with team leaders on how you can make the moving process smoother without necessarily disrupting everyone's workflow and productivity.

Create a schedule for when everything will be prepared and packed for the move, as well as which items will be packed and moved first. You may also need to figure out how to get bigger equipment and tools moved to your new location. Figure out when everything will arrive and always have a backup plan for worst-case scenarios.

2. Protect your data and technology

Inform your I.T. department about the move to give them enough time to plan how your data and technology will be handled in the safest way possible. Disconnecting and reconnecting your tech is one of the most complicated aspects of relocating your office. It requires knowledge and expertise to get everything back in order as soon as possible to avoid disrupting your business operations.

To save space and packing materials, plan which pieces of equipment technology will be taken to your new office and which ones are for donating or recycling. Dispose of other things that are no longer working to save space in your new location. If you have some pieces of equipment that are working but are no longer used, consider donating them to non-profit organisations.

3. Check building rules

Unless you own the entire building for your old or new office, you need to communicate with the owners about rules on relocating. You may be only allowed to move your belongings once business hours are over to avoid disrupting others who share the building. If you are moving out of or into a building with multiple storeys, you may need to request special permission to use the service elevator to move your equipment. You may also need to ask for details about road access and parking for moving vehicles so you can communicate them with the moving team, especially if you are hiring removalists Perth.

4. Find a reliable moving company

Your office tools and equipment are crucial in keeping the business running. Hence, it is important to make sure that they will arrive at your new location in the best condition without delay. Aside from transporting your equipment, you also need to have everything packed properly to lessen the risk of damage.

Whilst it is tempting to move everything with the help of your staff or book the cheapest service provider you find, it is best to take your time to find a reliable removals company to help you with your corporate move. Perform a background check on the removals companies near you to see what other customers are saying about their services. Choose one that has a good track record and offers a reasonable price.

5. Assign tasks for everyone

To make the move easier for everyone, enlist the help of all your employees by making them in charge of packing their desk space and personal belongings. Inform the staff about the move and set a day on when their belongings must be packed up. Encourage everyone to pack as early as possible the things that they are not using regularly and slowly fill their containers with other things they need to pack as the moving day approaches.

Getting the staff to pack their desk will help reduce the hours you will be paying removalists to pack smaller stuff. It can also help make sure that everything is packed and none of their personal belongings and office supplies is left behind. If possible, give your staff some time off before the moving day to finalise packing their desk space. Depending on how large your organisation is, everyone can use the time off to pack smaller office supplies or clean their areas and check every space to make sure everything has been packed.
